Thank you for participating in Singapore Vet Show 2025 which will take place from 24 to 25 October in Singapore. We advise you to read this manual carefully in order to correctly prepare your booth and ensure your show participation is as effective as possible.

The Manual has been split into sections dependent on whether you have taken Shell Scheme or Space Only, please ensure you read all relevant section carefully in conjunction with the Timetable, On-Site Advice and other sections to ensure preparation for the Exhibition is smooth. 

There are a number of forms which is accessible by expanding the last section of the page - Technical Forms. Please take the time to go through them – returning the forms to the respective vendors by the deadline dates. This is to ensure your instructions can be carried out by the Singapore Vet organising team and the appointed official vendors.

It is a contractual requirement that your stand is not dismantled in any way or products removed and that your stand remains manned until the show closes and is clear of all visitors.

Exhibitors are advised not to leave their stand unattended at any time during Breakdown.

It is the exhibitor's responsibility to remove all stand materials, packaging and waste from the hall. Please note that charges will be levied for the removal of discarded items.

Venue Specification

Situated next to the Central Business District, Suntec Singapore is at the heart of a self-contained, totally integrated events infrastructure, and only 20 minutes from Changi International Airport, where most major Asian capital cities are within a six-hour radius flying time.

 

MRT:

Suntec Singapore is easily accessible by three MRT stations (see MRT map) - Esplanade or Promenade via the Circle Line, and City Hall via the East West Line.

Follow these directions to get to Suntec Singapore:

  • From CC3 Esplanade MRT Station (3 minutes): Take Exit A and follow the signage to our Centre
  • From CC4 Promenade MRT Station (5 minutes): Take Exit C, walk through Suntec City Mall and follow the signage to our Centre
  • From EW13 City Hall MRT Station (8 - 10 minutes): Walk through City Link Mall and then Esplanade Exchange to get here

Suntec Singapore is accessible via 2 major expressways: East Coast Expressway (ECP) and Central Expressway (CTE). There are prominent signage directing the way to Suntec Singapore, which is located south of the Office Towers. There are a total of 3,200 parking lots available in the basement of Suntec City, and many more are available in the vicinity.

PARKING WITHIN THE VENUE

The Venue has a public car park in the basement of the building. Spaces are available on first-come-first-served basis at prevailing published rates and operational hours. Note that there will not be any complimentary parking coupon provided by the organiser.

 

BUSINESS CENTRE FACILITIES

Photocopying, faxing and IT facilities, including Internet access, are available at Suntec Singapore at Level 3, Venue Management Office.  There are charges for such services. Kindly contact  Suntec Singapore should you require any of such services.

Space Only Exhibitors

BUILDING MATERIALS

Materials for the construction of exhibition booths must have a minimum flame spread rating of Class 2.

DOUBLE STOREY BOOTHS

Double storey booths are only applicable for contracted ground area of 60 square metres and above (to be considered on a case-by-case basis). The design, construction and tear-down of double storey booths are to comply with the guidelines, rules and regulations laid down by the relevant authorities including that of the Fire Safety Bureau, the Organiser and the venue owner. Any upper storey of a multi-storey booths needs Singapore Fire Safety & Shelter Department (FSSD) submission. Designs and layout plans of the double storey booth must be submitted to the Organiser for approval at least 2 months prior to the exhibition.

OPEN FRONTAGES

All booths in the exhibition, irrespective of height, must have at least 50% of any frontage facing an aisle left open or fitted with transparent (clear, see-through) material. This area must be left visibly free of obstruction. Any semi-transparent frontages will have to be sent in to organiser for approval.

PROFESSIONAL ENGINEER ENDORSEMENT

Where required, a Professional Engineer (PE) must certify on all drawings of the proposed booth design to ensure the proposed booth design is structurally safe. Such certification is required for the following type of proposals to be apply onto the booth design:

  • Overhead hanging booth structure,
  • Metal truss rigging (Banners, lightings or booth structure),
  • Double deck booth arrangement
  • Any booth structure measured at 4m from ground,
  • Any LED wall build up from floor.

BOOTH BOUNDARIES AND DESIGN RESTRICTION

  • All booths must be carpeted or laid with some form of flooring as clear demarcation of contracted space.
  • All carpet and floor covering must be affixed with double-sided tapes. These tapes are to be removed during the dismantling period. The use of paint or other adhesives on the floor of the exhibition hall is strictly forbidden.
  • Edge protection is required for all edges of wooden platform.
  • Except for “island” booths (4-side open), a back wall must be installed for every booth. Booths with immediate neighbour(s) should also be provided with the necessary sidewall(s).
  • On dividing sites, exhibitors are required to ensure that the side facing their neighbouring booth are in white finishing with no branding.
  • All hanging structures and/or lighted balloons more than 2.5mHt from ground will have to be set 1m away from dividing walls between neighbouring booths.
  • Exhibitors may not place any display material or exhibit, nor extend their booth structures and fittings, beyond their contracted boundary. The Exhibitor will be charged for any infringement of this rule, and the show organiser reserve the right to remove the infringement.
  • Any display of programmable moving lights (cyber lights) is restricted within the perimeter of the exhibitor’s booth. The prevailing rate for space rental on per square metre basis will be charged to exhibitors who fail to comply to the above.

STRUCTURAL HEIGHT RESTRICTION

  • All Space Only exhibitors, including those planning to erect Clip, Nomadic or Pop-Up structures within their allocated space, are required to construct freestanding partition walls between their own and adjoining booths. These must be to a minimum height of 2.44m and a maximum height of 4m.  Approval for booth structure with 5m height arrangement will be based on case by case basis.
  • Where partitioning walls are constructed over 2.5m in height, the side facing neighbouring booths has to be in white finishing with no branding.
  • All hanging structures and/or lighted balloons more than 2.5mHt from ground will have to be set 1m away from dividing walls between neighbouring booths.
  • ALL special design booths, any structure that is higher than 2.44m height or booths with covered ceiling must be submitted for approval to the show Organiser by 20 September 2024. Drawings submitted must contain information such as floor plan, dimensions, booth elevation, plan layout, electrical fittings, materials to be used, fire-proof certificate (if applicable) and equipment to be displayed.
  • All covered booths must be fitted with portable sprinkler balls (One ball per 12sqm).

 

RAW SPACE/SPECIAL DESIGN BOOTHS

All space only exhibitors are required to submit full dimensional booth design drawings/Risk Assessment & Method Statement.  Plans must be in English and be submitted by 20 September 2024. Any changes in design after booth approval has been given will have to be resubmitted for approval again. Failure to comply will be dealt with accordingly. Submissions should be clearly marked “RE: Singapore Vet 2025 – Booth Design Submission” and emailed to c.hueywen@closerstillmedia.com

 

Contractor Pass & Temporary Access Pass

All appointed 3rd party booth builder/contractor/vendor/freight forwarder require an Onsite Contractor Sticker Pass to access and work within the exhibition halls. Each staff must put on his/her sticker pass without demand to security for verifications.

This is meant for booths who have engaged an external contractor for their booth build. Kindly fill up Form 2 and submit accordingly.

  • Temporary Access Pass

For ad hoc one-time deliveries (such as small parcels), your courier agent can sign out a Temporary Pass at;

Freight Forwarding Information

OFFICIAL FREIGHT FORWARDER

APT Showfreight (S) Pte Ltd has been appointed by the show organiser as the Official Freight Forwarder for Singapore Vet 2025.

 

IMPORTANT INFORMATION

The following information is for your guidance only. The Official Freight Forwarder will send a detailed shipping manual to you upon your request. Please read through the shipping manual carefully and take note of the shipping requirements and deadlines. In the event that you decide not to use the Official Freight Forwarder and their recommended agents (for non-local exhibitors only), please hand the shipping manual to your appointed freight forwarder for their compliance so that your exhibits can be correctly dispatched and consigned to the Official Freight Forwarder. Failure to comply with the deadlines and instructions will cause unnecessary delays in clearance, and may lead to additional expenses being incurred.

All heavy or large exhibits that require the use of a forklift or pallet truck MUST be handled by the appointed exhibition Official Freight Forwarder within the exhibition hall. Movement of freight from the second day of the build-up onwards is subject to size and equipment required and they may not be permitted entry into the exhibition hall. Exhibitors with such requirements are requested to return the respective service order form before the deadline with their item description, dimensions, weight and date of arrival.

It is considered an offence in Singapore to use APT Showfreight (S) Pte Ltd’s Unique Entity Number (UEN) without approval. Unauthorised use of APT Showfreight (S) Pte Ltd’s UEN could constitute identity theft, fraud, MISREPRESENTATION, ETC, and WILL BE REPORTED TO THE RELEVANT GOVERNMENT AUTHORITIES.

 

Documents for cosmetics, skin care products and any other controlled items are to be submitted to APT Showfreight (S) Pte Ltd by 24 September 2025 before shipment arrival in Singapore.

All exhibition goods dispatched either by sea freight or air freight must be consigned to the Official Freight Forwarder, regardless of the freight forwarder you may be using. They must be consigned “Freight Prepaid”.

 

DUTIES & TAXES AND GOODS & SERVICES TAX FOR ALL COURIER CONSIGNMENTS MUST BE PAID BY SENDER IN COUNTRY OR ORIGIN.

DO NOT CONSIGN YOUR CARGO TO CLOUD EXPO ASIA PTE LTD, SINGAPORE VET OR TO THE EXHIBITION CENTRE DIRECTLY.

HAND CARRIED ITEMS

Exhibitors or their appointed forwarder can move in the exhibits if the exhibits are small enough to be hand- carried by one person, to be moved in by an office trolley or exhibit that has its own wheels.

 

GIVEAWAY / CONSUMABLE ITEMS

Give-away and souvenirs are permitted entry into Singapore but are subject to duty and tax based on their CIF value.

 

BOOTH LAYOUT PLANS

Please provide the Official Freight Forwarder with scale layout drawing so that positioning of heavy exhibits (if any) can be carried out early during the build-up period. Please fax the final layout of your booth to the Official Freight Forwarder latest one week before the build-up of the show.

 

PACKING AND UNPACKING

Please ensure that your equipment is packed in a strong, waterproof packing case, which lends itself to be re- packed after the exhibition. Bolted returnable types of cases are suggested for main exhibits. All packing cases, cartons, etc., to be sent to the exhibition must display the following information:

The Official Freight Forwarder will assist with the physical unpacking and installation of exhibits. However, exhibitors must supervise and be responsible for these operations. Similarly, exhibitors must supervise the dismantling and re-packing of exhibits, especially for delicate and heavy equipment.

If exhibitors arrive on-site late or instruct the Official Freight Forwarder to arrange the positioning and/or

Re-packing on their behalf, then it shall be done handled at the exhibitors’ own risk.

 

ON-SITE STORAGE

No storage space will be provided on-site. Direct arrangement should be made with the Official Freight Forwarder. Otherwise, exhibitors must arrange for their empty and non-usable cartons and cases to be transported back to their premises. Exhibitors are not to store such items within the exhibition halls. Cloud Expo Asia Pte Ltd reserves the right to remove/dispose of any carton, cases and/or packing materials left in the exhibition halls. Any cost incurred will be borne by the exhibitor.

 

INSURANCE

Insurance is not provided. It is your responsibility to arrange all risk insurance covering the transport to the exhibition centre, during the exhibition and return of the exhibits, including the period when the Official Freight Forwarder handles exhibits. Please ensure that transport insurance is also arranged for exhibits to be sold locally.

 

REMOVAL OF EXHIBITS

Should exhibitors and their contractors / agents / suppliers wish to remove any items from the hall, an EXHIBITS REMOVAL FORM must be obtained from the on-site Show Management Office. This is applicable only during exhibition show hours on both days.

 

Rules & Regulation

ADMISSION

Admission to the conference and exhibition is for delegates only. Minors and members of the general public will not be admitted. For safety reasons, minors below the age of 16 will not be allowed into the exhibition hall at any time from build-up to teardown periods.

 

BADGES & PASSES

No one will be permitted into the exhibition hall during build-up, open period or breakdown without the appropriate pass.

 

EXHIBITOR BADGES

Every member of your staff, who will be working on the booth, requires an exhibitor badge. These badges must be worn on-site at all times during the open period of the exhibition. They can be ordered via the link provided in the checklist.

You may collect badges on-site from 1400hrs-2000hrs on Thursday 23 October and from 0800hrs onwards during the first day of the event.

 

CONTRACTOR PASSES

These will be issued by security upon your arrival at the venue loading bay and they will not be posted. If you have an Exhibitor's Badge, you will not require a contractor's pass.

 

DAMAGE TO BOOTH STRUCTURES AND EXHIBITION PREMISES

No person under any circumstances shall cut into or through any floor covering or wall nor alter booth service structure except when authorised in writing by the show organiser. Any such damage to booth service structures will be invoiced to the Exhibitor.

 

DANGEROUS MATERIALS

  • No temporary gas (LPG) or naked live electrical fittings are to be used in the exhibition halls at any time.
  • No explosives, petrol, dangerous gases or highly inflammable substances are allowed in the halls.
  • No radioactive substances are allowed unless prior approval in writing is obtained from the show organiser. Any radioactive substances being used must strictly comply with the rules and regulations stipulated by the relevant regulatory body.

You are able to deliver and collect items from your stand within the Build & Breakdown timings shown within the Event Timetable tab.

If this is not possible, please contract APT Showfreight who can sign and store your items securely for you until you arrive, they will be able to quote depending on the number and size of your delivery.

 

FOOD & BEVERAGES

According to the regulations of Venue, no outside food and beverages are allowed to be taken into the exhibition venue. Exhibitors may have food and drinks at the cafeteria (if any) inside the Exhibition Hall or at any other restaurants within the exhibition centre.

External Catering is strictly not permitted. External catering fee will be levied for any external food and beverages brought in. Please refer to below application permit form for your reference on the fee levied. 

All application is subjected to approval from the venue. The Venue reserves the right to reject any application submitted. 

 

INSURANCE

Any loss or damage that may occur during the show should immediately be notified to the Organisers and Security on-site. Please note that Exhibitor insurance policies do not cover booth contractors and any subsequent sub-contractors, and as such, contractors are now required to submit proof that they have adequate insurance cover.

We recommend that contractors erecting complex structures should have a minimum of £5,000,000 Public Liability and also must be able to provide proof of Employer Liability insurance. Contractors erecting standard structures should have a minimum of £2,000,000 Public Liability and also must be able to provide proof of

Employer Liability insurance.

 

OFFICIAL CONTRACTORS

  • The show organiser has appointed an Official Booth Contractor for various services to ensure a more efficient and regulated build-up and dismantling. Please refer to CONTACT LIST for details. The services of the Official Booth Contractor are for the convenience of exhibitors, and the show organiser will accept NO liability in respect of any contract between exhibitors and such contractor for negligence or default of any such persons, their servants and agents.
  • All electrical, water and compressed air link-ups must be contracted through the Official Booth Contractor.
  • Only the Official Freight Forwarder can be employed whenever mechanical handling of exhibits (i.e. the use of forklift or pallet truck) within the exhibition hall is required.
  • Exhibitors may appoint their own contractor for booth design and construction subject to them being approved by the show organiser. All approved contractors must lodge a refundable performance bond of SGD 20.00 nett per sqm to the show organiser (Subject to a minimum of SGD 500/- not exceeding SGD5,000/- per booth). Cheques should be made out in favour of “Pico Art International Pte Ltd” and attention to Ms. Alyssa Lee / Mr. Jins Lim

POWER SUPPLY AND LIGHTING

  • All electrical installations work from source of supply at the exhibition must be carried out solely by the show organiser’s official contractor.
  • Exhibitors requiring different voltages, stabilisers, frequency or special connections to equipment should arrange for their own transformers, converters, boosters, etc and keep the show organiser informed.
  • All electrical equipment should be tested and approved by the show organiser’s appointed licensed engineers prior to turning on the electrical supply.
  • All electricity supplied to the booth will be switched off from source 30 minutes after the exhibition closes daily.
  • 24 hours electricity supply is available by prior arrangement with the Official Booth Contractor at least 2 weeks before the show. SUCH SUPPLIES CANNOT BE ARRANGED AT SHORT NOTICE. The show organiser reserves the right to disconnect the electrical supply to any installation, which in the opinion of the electrician, is dangerous or likely to cause annoyance to visitors or other exhibitors.

 

PRODUCT DEMONSTRATIONS AND PRESENTATIONS

  • The show organiser appreciates that demonstrations and presentations form an integral part of exhibitions. Exhibitors, however, should exercise discretion to other exhibitors when carrying out demonstrations and presentations.
  • Loud speakers/sound devices and/or image projection equipment are to be placed in such a way that sound/image is directed downwards and into the booth, and not towards or across the aisles. The operation of any sound device or image projector must not interfere with, or be an annoyance to neighboring booths. Sound levels recorded at adjacent or opposite booths should not exceed 70dB for all speech, music and sound effects.
  • The show organiser may also require such demonstrations or presentations to be carried out in accordance to a timetable as laid down after the consultations with the exhibitors involved.
  • Exhibitors planning to stage demonstrations or presentations must provide a reasonable space for the audience within the confines of the booth.

 

PROMOTION(S) DURING THE SHOW

  • Exhibitors are not allowed to place stickers, signs or posters anywhere in the exhibition hall other than within their own booth and on paid advertising poster sites and billboards.
  • Exhibitor’s representatives are not permitted to distribute any publicity materials, souvenirs and the likes.
  • Non-exhibitors are prohibited from displaying or promoting their activities anywhere in the exhibition and may be asked to leave.

 

SECURITY

  • The show organiser will arrange for general security in the hall during the build-up, teardown, and show hours. The exhibition hall will be locked after show hours. Exhibitors are requested to leave the hall within 30 minutes of the closing time.
  • Exhibits movement in and out of the hall during show hours is not permitted. Should there be a need to remove an exhibit from the hall during the show hours, exhibitors are required to obtain an Exhibits Removal Form from the on-site Show Management Office.
  • All personnel in the exhibition hall must wear identification badges. Badges for exhibitors and contractors are available from the Registration Counter. If your displays are very valuable or sensitive and you wish to hire security personnel to attend to your booth exclusively for the exhibition, please contact the show organiser for security services. Please note that you are not allowed to use your own staff or personnel from any other security agency.

 

BOOTH CLEANING

  • During the build-up and teardown periods, exhibitors and/or their appointed contractors will be responsible for removal of booth construction debris (i.e. empty paint cans, lumber scraps, etc.) and rubbish. Failure to do so will result in the exhibitors being liable for the service fees involved i n removing the debris. All aisles must be left clear at all times.
  • During the exhibition days, the show organiser will provide general cleaning of the booth carpets and aisles daily. It is the exhibitors’ responsibility to maintain the cleanliness of their booths at all times.

 

WORKING EXHIBITS

  • Moving machinery must be fitted with safety devices when the machines are in operation. These safety devices may be removed only when the machines are disconnected from the source of power.
  • Working machines must be placed at a relatively safe distance from the audience. We strongly recommend the use of safety guards.
  • All pressure vessels or equipment under pressure must conform to the safety standards & regulations.
  • Prior approval must be sought from the show organiser before operating such equipment.
  • No motors, engines, contrivances or power-driven machinery may be used without adequate protection against risk of fire.
  • No naked or open flame equipment is to be used in the exhibition hall at any time.

 

STORAGE

Direct arrangements should be made with the appointed official freight forwarder. Otherwise, exhibitors must arrange for their cartons and cases to be transported back to their own premises. Exhibitors are not to store such items within the exhibition halls. The Organiser reserves the right to remove/dispose of any carton, cases and/or packing materials left in the exhibition halls. Any cost incurred will be borne by the exhibitor.

 

ANIMALS ON BOOTH

For any exhibitors who are bringing animals as part of their demonstration or exhibition, it is mandatory to submit the Application Form 12 (Under Technical Form Tab) and risk assessment form to the organiser by the stipulated deadline.
